Information review policy

This page describes the responsibility structure that NeIC has put in place to ensure that the information that NeIC keeps and communicates is correct and up-to-date. It also describes the NeIC process for regular follow-up and review.

Summary

Everything is the Director's responsibility.

This is not an opinion, but Non-Negotiable Fact.

The process for how to make this workable is described below.

Information review process

1. All web spaces are sectioned off into areas of responsibility, according to the stakeholder engagement monitoring scheme.
   • Eg Project leaders are responsible for pages relating to their activities.
2. Everything that goes outside of that is the director's responsibility. Examples:
   • Strategy, collaboration model, organization...
   • all the ambiguous cases.
   • Especially including: pages with lists of other people's responsibility areas, such as lists of activities!
3. Any responsible party can delegate authority, in full or in part, to someone else to maintain the area.
   • Note: This means proper delegation! With taking responsibility for carrying out a well-defined task! I.e:

     Bad: "It is everyone's responsibility to keep the web updated!"

     Bad: "I've decided that it's your job to keep the web updated!"

     Good: "Can you ensure that this defined set of pages remains accurate, and do regular checks at this defined frequency? Yes I can! Good!"

   • Delegation entails handing over authority to rearrange / modify information for better presentation, and the acknowledgement that this is real and important work that takes time.
   • Delegating to someone else does not mean that you can avoid having a continuous dialogue regarding the quality of the results, for example based on occasional random sampling.
4. Any responsible party can suggest to remove information from their area, eg:
   • "This is useless and unmaintainable, can we delete it? No, because X. Ok, but can we drop these useless parts? Yes! Yaaaaayyyy!!!!"
   • Wrong information is worse than no information.
5. NeIC has regular (quarterly) info reviews, in preparations for board meetings.
   • In info review, everyone has to get everyone that they have delegated to to vouch for the accuracy of the information in their delegated area.
   • We want to look good under the microscope.
   • We want VIPs to be on the bleeding edge of understanding us.
6. We do annual reports to board on stakeholder engagement.
   • This will now be simple and accurate, because everyone did their job in bookkeeping.
