Project status
We have continued to work between the E3DS and E3DDS projects. Regular Monday meetings have continued. The meetings are still minuted at: https://wiki.neic.no/int/EISCAT_3D#Minutes . An internal web page is up at: https://wiki.neic.no/int/E3DDS

Documents from E3DS
MD-2: Report on requirements for user’s access to the data archive.
We have contributed to the FIM4R document at:

They are happy with our contributions (reviewed by Carl-Fredrik). Can this be considered as accepted once it is submitted for publication? i.e. not much more to do? - Note: AARC2 description missing, Ingemar should add to the description of AAI. (Done).
Once this is published then this deliverable can be accepted.
MA-4
Documents in place. Janos Nagy will provide a set of documents from the latest NSC (SE) tender also.
Propose to keep this collection of procurement documents open-ended. Will be of use to EISCAT_3D once computing/storage need to be procured. i.e. We will continue to add to the repository.
CH: I agree that we don't need to end this collection of documents.

Nearly done. I have waited for LOFAR but got no good response. Will finish up.

Is the project plan approved by the SG?
CH: Looks good to me.
YO: OK. Changes made.
RP: Looks OK.
The PP is accepted by the SG (modulo one correction of the CodeRefinery workshop from June to September 2018). Once this correction is made we will notify NeIC (Kine and Gudmund) that this is accepted.
Documents from E3DS postponed
We did not follow the same documents format in E3DDS. Comments on these for the project?
MA-5 "Recommended solutions for the operation and data centres"

MB-5 "Update requirements and provide input to procurement plan for EISCAT_3D core/remote site"

This one a bit more difficult to see...
CH: We would like some mechanism for dialogue with the NeIC project. i.e. How to get questions asked. EISCAT_3D project leader ask the NeIC project for guidelines?
(The EISCAT_3D project leader will ask for items to be added to the regular Monday meeting agendas)
Collaboration Agreement
Received comments (January 22nd 2018) from SE representative. Wait for comments from others until April 11th.
CH: Still a bit behind with email.
RP: We understand the need to get this done by April 11th. (Comments from board members and EISCAT). This is the only gate to pass to officially start the project.
Kick-off meeting
We have discussed in the group... April is optimistic given that CA must be signed etc and also there are plenty of other meetings already. Easter April 2nd. EGU mid-april and teaching in end of April. April is not feasible?
Propose that the kick-off could be held on Monday May 7th right before the EISCAT User meeting in Uppsala.
CH/YO: Agree. You will need to contact Stefan to arrange.
We would like to have the CodeRefinery workshop as early as possible but this may not be possible at the kick-off meeting with time/logistics constraints. Schedule for later once the software people are known? September in Kiruna?
CH: Yes. So long as we can avoid other meetings. SAC on Sept 11/12th.
RP: Do we do this at the EISCAT User meeting?
JW: Not really for analysis (users). This is aimed at those who will write e.g. beamformer software and similar.
Also propose I could give a talk about E3DDS and Dellingr (EISCAT_3D analysis could be a good use-case for short-term HPC resource sharing).
CH: The talk sounds reasonable.
CH: Good way to do some experimenting... lower bandwidth early on. May not need the HPC resources.
Stakeholder meeting

The agenda for this meeting should be mainly from the project plan:
"In addition, there is a continuous iterative process to determine the requirements from EISCAT_3D and the general questions on EISCAT_3D operations from the NPs. These are EISCAT_3D requirements and NP questions that are not exclusive to those given in the deliverables above. These are related to the actual overall modes and procedures expected in the EISCAT_3D operations that can affect NP planning and procedures. This process is aimed in order to set a baseline for the EISCAT_3D operations in order that the NPs can set a price for hardware and support."
Also, an update on the work for the first deliverable.

CH: I have Firm commitments end of August and Sept 11/12th (EISCAT SAC).
