Project plan draft

Timeplan: mid-Feb 2019 to be sent to SG for comments.

Comments and suggestions from the steering group:

  • In the beginning of the project community building and sustainability is more important than producing a high number of workshops.
  • How to run a workshop example from BioExcel: https://github.com/blauc/workshop-orga/
  • Consider to reduce number of workshops to also leave some time for the other work items, allow more time for lesson development, use time in spring for organization.
  • SG recommends to aim at first workshop in April.
  • For new lessons consider adding lessons on visual analytics, visualization, and infovis.
  • If this or other topics are outside the team expertise, check with other projects/programs and collaborate.

Ratatosk/ reference group

Should the Ratatosk project steering group become the reference group for the CodeRefinery project?

  • Yes, provided this group is self-organized and the group's scope within the CodeRefinery project is to disseminate and coordinate distribution of instructor training seats as well as Carpentries workshops.
  • The reference group can monitor the progress of the project via the established (or to be established) public and internal channels. No additional dedicated reporting will be produced.
  • Meetings with the training coordinators are called in ad-hoc only if needed.
  • A natural meeting point would be as side meeting to the NeIC conference.
  • The CodeRefinery project is not committing to extra coordination work, this group would be self-organized.

Process for Carpentries instructor training and workshops

We need to set up a process for selecting which workshops to sponsor and which persons to send to instructor training.

The PM is getting many questions about this from different places so demand does not seem to be a problem. But so far we only know that (https://wiki.neic.no/wiki/CodeRefinery2-SG-meeting-2018-10-22#Partnership_with_The_Carpentries_.28discussion.29):

  • "SG will coordinate distribution of seats and workshops between the countries, but not interfere nationally."
  • "Workshops will be distributed equally among the contributing countries and the steering group will analyse the effectiveness during the yearly review of the project."

We will need to decide how we do this in practice.

Comments/suggestions from the SG:

  • We have 18 workshops in total and 6 countries (including Iceland).
  • Keep track of the requests.
  • By default if CodeRefinery team and the national training coordinator agree, no need to involve SG/RG.
  • Only for the workshops above the national quota we should involve the SG/RG.
  • PM will inform the national training coordinators about available seats.
  • For instructor training: first comes CR staff, then persons who are interested in being involved as instructors in CR.
  • The distribution of instructor training seats is delegated to the CR team.
  • Ideally, we will try to set up an in-person instructor training 2-day event in Oslo bringing everybody into the same place.
